Due to maternity leave, we are looking for a hands-on Executive Assistant from June to December 2023.
Responsibilities
Assistance to the Chief Executive Officer:
- Organizing and maintaining the calendar on a daily basis and generating yearly planning
- Scheduling and organizing travel itineraries
- Organizing and coordinating various meetings, such as offsites, events, roundtables, video and conference calls by preparing related materials and assigning deputies
- Coordinating with the Secretariat of the BIL Group meetings, absences and yearly planning of events and board meetings
- Managing and coordinating business and personnel requests
- Reviewing and handling all incoming and outgoing emails and telephone calls
- Processing invoices and expenses
- Conducting various desktop- and information- based research
- Planning and preparation of Board of Directors meetings including travel arrangements
Assistance to the Executive Committee:
- Managing Executive Committee’s schedule and diary
- Organizing and coordinating monthly Executive Committee meeting including preparation of all presentations and supporting materials
- Managing vacation tracking and personal time planning for the ExCo team for BIL Suisse
General tasks:
- Planning and arranging staff events
- Planning, arranging, and supporting marketing and branding activities including client events
Must-have requirements
- 5 years of experience in a similar position in the Financial Sector
- Strong verbal and written communication skills & ability to interact comfortably with individuals at all levels in a professional manner
- Well organized, proactive, and detail-orientated and able to deliver accurate work within the agreed time frame
- Ability to multi-task and anticipate needs, whilst remaining calm under pressure
- Team player, able to collaborate with team members to achieve collective goals
- Discrete with good interpersonal skills, able to create a positive work atmosphere
- Fluent in English (written and spoken)
